Driver Licence Lookup Privacy Policy

This policy explains what information Driver Licence Lookup collects, why it is collected, how it is used and stored, who it may be shared with, how long it is retained, and how you can exercise rights over your information.

1. Information We Collect at Account Creation

During account creation, the platform gathers your email address, password (stored as a hash), and consent flags. After login, additional account details are collected through an onboarding form: first name, last name, phone number, company name, optional company address, business email, and role/title (for example fleet manager, compliance lead, broker, or operations).

2. Information You Submit for Licence Checks

To run a licence check, users submit a 15-character Ontario driver's licence number and may optionally provide internal driver, contractor, or vehicle reference numbers and a postal code. The platform intentionally minimizes personal information requirements: it does not require the driver's full name, date of birth, address, or government identification beyond the licence number. Users are responsible for confirming they have the authorization required under applicable law (including any required driver consent or employment authorization) to submit information about third parties.

3. Licence Check Results, Records, and Search History

When a check executes, the system stores the result returned by the MTO public Driver's Licence Check service, the lookup timestamp, any related MTO order references, and search history per licence number to allow review of prior checks, demonstration of due diligence, and reconciliation of source-system changes.

4. Payment and Subscription Information

A third-party payment provider processes payments. Full credit card numbers are not stored on our platform. We store transaction identifiers, plan type, subscription status, credit balance, and top-up history for account provisioning and billing inquiries.

5. Technical and Security Information

Technical information is automatically collected for platform operation and security: IP address, user agent, device/browser information, session identifiers, server logs, error logs, audit logs of account events (login, profile completion, terms acceptance), and anti-abuse signals.

6. How We Use Information

Information is used to: provide and operate the platform; perform licence checks; maintain audit records; bill and manage subscriptions; send transactional emails (status reports, scheduled-check summaries, flagged-driver alerts, account notices); maintain security; prevent abuse; comply with legal obligations; respond to support and disputes; and improve the platform.

7. Service Providers and Third Parties

Information is shared only with service providers necessary for platform operation, including: cloud hosting and storage providers; email delivery providers; payment processors; anti-CAPTCHA providers (used to interact with the public MTO service); and analytics tools.

Each provider is bound by their own terms and expected to implement appropriate safeguards. User information is not sold.

8. Checks Use Public/Third-Party Systems

The platform interacts with the public Ontario MTO Driver's Licence Check service to return licence status information. Information submitted may transit those systems for checks. The platform does not control those systems and is not responsible for their privacy or security practices.

9. Data Retention

Account, profile, and acceptance records are retained for the account lifetime and a reasonable period afterward for audit, dispute, and legal-defence purposes. Licence check results and history are retained as needed to support ongoing use and audit needs. Data may be deleted or anonymized sooner where required by law or in response to valid deletion requests.

10. Security Safeguards

The platform employs industry-standard safeguards including encryption in transit, password hashing, scoped access controls for administrative tools, server-side audit logging, and authentication safeguards including optional two-factor authentication. No internet platform can guarantee absolute security, and users acknowledge this risk when using the platform.

11. Your Responsibilities

Users are responsible for: keeping login credentials confidential; ensuring authorization to submit information about third parties (including any required driver consent or employment authorization); complying with privacy, employment, insurance, and contractual obligations; and using the platform consistent with the Terms of Use.

12. Your Rights

Users may request access to, correction of, or deletion of personal information held by the platform, subject to legal and operational retention requirements. Audit records of accepted Terms cannot be deleted while an account is active. Contact us to exercise these rights.

13. Changes to This Policy

The Privacy Policy may be updated periodically. Material changes may require users to re-accept the updated policy before continuing platform use.
